Construction Basics
What is a procurement schedule?
A procurement schedule is a planning document that maps out when each trade package on a construction project needs to be tendered, evaluated and awarded in order to meet the construction programme.
It is produced at the outset of the project and updated throughout the pre-construction and construction phases. It gives the commercial team, project manager and board a single source of truth for the status of all subcontract appointments.
A well-maintained procurement schedule prevents packages from being overlooked, ensures that critical path trades are awarded on time, and provides a record of all procurement activity for audit purposes.
On larger projects, the procurement schedule is typically issued as part of the monthly project report and reviewed in commercial meetings alongside the programme and cost report.
Use Cases
When to use this template
Main contractors managing multiple trade packages across a project
With 20 or 30 packages to procure, tracking tender dates and award milestones in a single schedule keeps procurement on programme and prevents packages from being forgotten.
QS teams running structured tender processes
A procurement schedule gives your QS team a consistent framework for managing the full tender cycle from enquiry to award, with a clear record of who was tendered and what was awarded.
Project managers ensuring procurement does not delay construction start
Late procurement is one of the most common causes of programme delay. Tracking award dates against programme start dates makes it visible early enough to act.
The Limits of Spreadsheets
The problem with managing procurement on spreadsheets
This template works well for small projects or single projects. As the number of packages and projects grows, the risks compound quickly.
Packages missed until it is too late
Without a complete package list tracked against the programme, individual packages fall through the gaps. By the time the gap is noticed, there is no time to run a proper tender process.
Multiple versions of the schedule in circulation
When the procurement schedule lives in a spreadsheet on someone's desktop, different people are working from different versions. Award decisions get made based on outdated information.
No visibility for the wider team
Project managers and directors often have no live view of procurement status. By the time they realise a critical package is not yet awarded, the programme is already under pressure.
